VAT invoicing

VAT invoicing

The invoice your accountant wants.

Sequentially numbered. Both VAT numbers. Itemised at 23%. On your order page the moment your payment clears. No phone calls, no follow-ups, no “we’ll post it next week”.

How invoicing works

From checkout to your accounts inbox, automatically.

No login portal, no monthly statements, no waiting. Your VAT invoice appears on the order page the moment checkout completes — two taps from your confirmation email: “View your order”, then the invoice number beside “VAT” at the bottom.

  1. 01

    Order on signandpost.ie

Add posts to cart. Enter your company VAT number if you have one — it prints on the invoice automatically.

  2. 02

    Pay at checkout

Card or PayPal. Payment clears in about three seconds.

  3. 03

    Open your order page

Tap “View your order” in your confirmation email, scroll to the bottom, then click the green invoice number beside “VAT”. PDF downloads, sequentially numbered, ready to forward to accounts.

  4. 04

    Drop into your accounting system

Drag the downloaded PDF into Xero, Sage, QuickBooks or your in-house ledger as a supplier invoice. All the fields these systems read are on the PDF.

VAT questions

The six things your accountant wants checked.

What’s on every invoice?

Sequential invoice number · date of issue and date of supply · our trading name (Sign & Post), address and Irish VAT number IE3588127MH · your billing and shipping details · line items with unit price ex-VAT and VAT rate per line · subtotal ex-VAT · VAT charged at 23% itemised separately · shipping line · total inc-VAT. Everything Irish Revenue requires on a VAT invoice.

I forgot to enter my VAT number at checkout — can it be added later?

Yes. Reply to your order confirmation email with your VAT number and we’ll add it to the invoice on our side. Same-business-day turnaround Monday to Friday.

Do you handle reverse charge or zero-rated VAT?

All sales are domestic Irish at the standard 23% rate. We ship Ireland-only, so EU intra-community reverse-charge doesn’t apply. If you have a specific case, email info@signandpost.ie before ordering.

What about credit notes for returns?

When we process a refund in Shopify, the credit note is recorded against your original order. It’s visible on your order page next to the original VAT invoice — same one-click PDF download for your records.

Will the invoice work with Xero, Sage, or QuickBooks?

Yes. Open the VAT invoice on your order page, save as PDF, drop it into Xero, Sage, or QuickBooks as an expense attachment. The PDF includes every field these systems read: invoice number, date, supplier VAT, line items ex-VAT, VAT amount at 23%, and total inc-VAT.

How long do you keep invoices on file?

Indefinitely — well beyond the six-year Revenue retention requirement. Every invoice is stored against your order in Shopify’s records.
